RGOs are officially approved, grad student-led groups that enrich the academic, professional, cultural, and social life of graduate students at NJIT. Operating in coordination with the Graduate Student Association and the Office of Student Life, RGOs foster leadership development, community engagement, interdisciplinary collaboration, and professional growth.

In accordance with GSA governance and budgetary policy, 40% of the GSA social and cultural activities budget is allocated to support RGOs, subject to annual approval by the General Assembly. Participation and attendance requirements for clubs in GSA meetings and activities are determined by agreements approved by the General Assembly, based on proposals submitted by the GSA Executive Board. To remain eligible for funding and institutional support, RGOs must comply with established policies, maintain good standing, and align their activities with the mission and values of the graduate student community.

RGO Event 

Recognized Graduate Organizations (RGOs) play a central role in enriching graduate student life through academic, professional, cultural, and social events. To remain active and eligible for GSA support, each RGO is expected to organize a minimum number of events per academic year, as established and periodically reviewed by the General Assembly. These requirements may be adjusted by formal action of the General Assembly, following proposals submitted by the GSA Executive Board.

 

All RGO events must be planned, registered, and executed in full compliance with NJIT policies and procedures. This includes timely event registration through the university’s official platform (e.g., Highlander Hub), adherence to space reservation and capacity rules, compliance with financial and procurement guidelines, and coordination with the Office of Student Life when required. Events involving food, external speakers, travel, or special activities must obtain the appropriate approvals in advance.

 

Careful planning is essential. RGOs are expected to define clear objectives, prepare itemized budgets when requesting funding, secure required permissions, and ensure events are inclusive, safe, and aligned with the academic mission of NJIT. Post-event reporting (Form here), including attendance and a brief activity summary, may be required to ensure transparency, accountability, and continued eligibility for GSA funding and recognition.

Minimum requirements:

  1. At least 6 event per semesters.

  2. Proper use of physical and financial resources.

  3. Maintain positive relationships by adhering to the code of conduct of NJIT.

  4. Attendance to ALL General Assembly meetings.

  5. Submit all after event reports.

  6. Show periodic reports to the General Assembly.

  7. Keep the Highlander Hub RGO account updated.

  8. Participate in all GSA RGO meetings that are called.

 

**Failure to meet these requirements will result in a warning; a second warning will result in the freezing of funds.**

How to Start a RGO

Starting a RGO allows graduate students to build community, promote academic and professional development, and contribute meaningfully to campus life. To establish an RGO at NJIT, students must follow the institutional process administered by the Office of Student Involvement and Leadership (OSIL), in coordination with the Graduate Student Association (GSA).​

Step 1: Define the Organization

Develop a clear mission and purpose that serves the graduate student community and does not duplicate the scope of an existing organization. Create your logo,  Constitution, and Bylaws. Clearly identify the organization’s academic, professional, cultural, or social focus.

Step 2: Form a Leadership Team

Recruit the required number of graduate student members and identify officers (at least: President, Vice President, Treasurer) in accordance with GSA Constitution and OSIL guidelines. All officers must be currently enrolled graduate students in good academic standing.

 

Step 3: Secure a Faculty or Staff Advisor

Identify a full-time NJIT faculty or staff member who agrees to serve as the organization’s advisor, as required for official recognition and continued operation.

 

Step 4: Complete OSIL Registration (Higlander Hub)

Submit the official application for recognition through NJIT’s student organization platform, Highlander Hub. The application must include the organization’s constitution, officer roster, advisor information, and mission statement.

 

Step 5: Review and Approval

OSIL reviews the submitted materials to ensure compliance with NJIT policies and student organization requirements. Once OSIL approved, it is necesary a presentation in from of the General Assembly for GSA approval of DepRep. Then, the organization is formally recognized and authorized to operate on campus and use GSA funding.

Step 6: Engage with the GSA

Upon recognition, graduate organizations are expected to coordinate with the Graduate Student Association EBoard. This includes understanding GSA policies related to funding, participation in the General Assembly when required, and compliance with any additional expectations approved by the General Assembly.

 

Step 7: Begin Programming

Once recognized, the RGO may begin organizing events, requesting funding, and engaging the graduate student community, provided all activities comply with NJIT, OSIL, and GSA policies.
